Position Summary:
The Accounts Payable Supervisor will be responsible for processing and monitoring AP transactions, ensuring accurate and timely payments to vendors, and maintaining proper documentation of financial records. This role will also be responsible for assisting the accounting department with administrative items such filing, recordkeeping, data entry, invoicing, and other tasks as assigned.
Key Roles / Responsibilities:
- Manage the full cycle of accounts payable, including invoice processing, payment runs, and vendor management.
- Supervise, and train AP staff.
- Ensure compliance with company policies, internal controls, and regulatory requirements.
- Review and approve payment batches, ensuring accuracy and timeliness.
- Reconcile AP sub-ledger to the general ledger and resolve discrepancies.
- Maintain vendor records and ensure proper documentation (W-9s, contracts, etc.).
- Prepare and analyze AP aging reports and other financial reports as needed.
- Support month-end and year-end close processes.
- Assist with audits by providing documentation and responding to inquiries.
Required Experience, Education, and Qualifications:
- 5+ years of experience in accounts payable, with at least 2 years in a supervisory or managerial role.
- Associate or bachelor’s degree in accounting or finance
- Experience in the financial services industry.
- Strong problem-solving and analytical skills.
- Strong knowledge of accounts payable processes, including coding, verification, and reconciliation of invoices and purchase orders.
- Familiarity with Microsoft software such as Outlook, Word, Excel, Teams, and others.
- Familiarity with financial software, such as Microsoft Dynamics, Solifi, or others.
- Detail-oriented with excellent organizational and time management skills.
- Ability to work independently and prioritize tasks effectively.
- Excellent verbal and written communication skills.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Positions self to install equipment, including under desks.
- Moves throughout the building to access files.
- Must be able to comprehend and follow written and oral instructions.
- Must be able to complete tasks even with frequent interruptions.
- Must be able to use discretion and independent judgment as needed.
- Must be able to speak clearly on the phone and to fellow workers.
