Position Summary:

The Documentation Specialist is responsible for preparing legal documentation and ensuring a smooth flow of deals by working alongside sales and credit teams to ensure timely loan closing and funding; to include proper documentation is on file for each deal processed and final audit is conducted to ensure all details are in order from each department.  

Key Roles / Responsibilities:   

  • Review and audit credit approvals to prepare legal documentation and administer the funding process for loans. 
  • Generate legal documentation necessary to facilitate loan funding and closing. 
  • Order, prepare, and review lien searches to clear and liens and encumbrances on equipment to be financed. 
  • Consult with 3rd party originators and/or insurance agencies, as needed, to resolve funding hurdles. 
  • Facilitate transaction pipeline to ensure timely approval of funding, in accordance with company goals and processes. 
  • Work closely with internal departments to ensure all necessary details are in order, the documentation specialist serves as the final review before closing and funding. 
  • Follow-up and clear any outstanding items needed for legal file after funding. 
  • Safeguard confidentiality and protected information covered by privacy law and company policy. 
  • Some travel may be required.
  • Performs other related duties as required. 

Required Education, Experience, and Qualifications:  

  • Three to five (3-5) years of experience in credit/documentation related positions. 
  • Exposure to varied environments where finance and credit decisions are being made in credit/documentation situations, and ability to apply relevant concepts and best practices.
  • Title work knowledge is preferred.
  • Keen attention to detail is required.
  • Communication – Phone communication, communication with personnel and customers. 
  • Must work independently and as a member of a team.
  • Ability to read, speak and write English. 
  • Ability to use sophisticated computer software programs to achieve job functions.  

Working Conditions:  

  • Prolonged periods sitting at a desk and working on a computer. 
  • Must be able to lift 15 pounds at times.
  • Positions self to install equipment, including under desks.
  • Moves throughout the building to access files.
  • Must be able to comprehend and follow written and oral instructions.  
  • Must be able to complete tasks even with frequent interruptions.  
  • Must be able to use discretion and independent judgment as needed.  
  • Must be able to speak clearly on the phone and to fellow workers.
