Position Summary:

The Executive Assistant to the CEO provides high-level administrative support, ensuring seamless independent commercial finance business operations. This role requires exceptional organizational skills, professionalism, and the ability to manage changing priorities in a fast-paced environment. Acting as a trusted liaison, the Executive Assistant anticipates business needs, optimizes efficiency, and maintains discretion while handling sensitive matters.

Key Roles / Responsibilities:

  • Manage and maintain the CEO’s calendar, prioritizing appointments, meetings, and travel arrangements.
  • Seeks out, coordinates, and documents proper collaboration between the CEO and internal team members, customers, and external stakeholders to ensure timely and effective communication.
  • Documents processes and procedures relevant to the role, creating an EA to the CEO guidebook in the first year of employment.
  • Support strategic projects by conducting research, compiling data, and preparing executive summaries.
  • Proposes and pursues efficiencies in all areas of the role inclusive of implementing automations and more efficient workflows.
  • Prepare meeting agendas, presentations, reports, and correspondence on behalf of the CEO.
  • Coordinate travel logistics, including flights, accommodations, and itineraries.
  • Attend meetings, take detailed notes, and follow up on action items to ensure execution.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Liaise with senior leadership, board members, and external partners to facilitate business operations.
  • Assist with special initiatives, company events, and executive communications.
  • Streamline administrative processes to enhance efficiency and effectiveness.

Required Education, Experience, and Qualifications:

  • High school diploma or equivalent is required.
  • Bachelor’s degree in business administration, Finance, or a related field preferred.
  • At least five (5) years of experience as an Executive Assistant, preferably in finance or commercial lending and managing executive-level projects and initiatives
  • Exceptional organizational and time-management skills, inclusive of serving rapidly shifting priorities in an entrepreneurial and environment with limited structure.
  • Strong communication skills, both written and verbal.
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
  • Previous experience utilizing Salesforce in a similar environment.
  • High level of professionalism, discretion, and integrity.
